A Spreadsheet Doesn't Get Smarter

The hidden cost of knowledge that never compounds

There is a version of institutional knowledge in elite sport that never gets recorded. It lives in the decisions a practitioner makes halfway through a complex case — the adjustment to a criteria item, the modification to a loading phase, the early introduction of a movement pattern that worked better than the protocol suggested. These decisions are made by experienced professionals exercising good clinical judgement. And then, more often than not, they disappear.

Not because the practitioner forgot. Because the system they were working in had nowhere to put it.

The Fragmentation Problem

High-performance departments do not typically work from a single system. Medical staff document in electronic health record software. Strength and conditioning coaches plan and track inside gym-based applications. Sports scientists operate across Power BI dashboards, custom-built athlete management systems, and GPS platforms. Each of these tools exists for good reason. Each serves a specific function well.

But none of them talk to each other. And none of them accumulate shared knowledge.

When a physio refines a return-to-play criteria framework mid-case, that refinement lives in their version of the file. When an S&C coach builds a more effective loading progression for a muscle injury, it remains inside their programme builder. When a sports scientist develops a way of visualising wellness and workload together that actually changes how the team makes decisions, that approach is recreated manually every time it is needed.

The insight exists. It just never becomes organisational property.

The Version Without Memory

A spreadsheet is a static document. It records what was decided at the point of creation. It does not learn from how the case developed. It does not incorporate what changed, what worked, or what the team would do differently next time. And if multiple people are working from separate copies, there is no guarantee that the version being acted on is the version that reflects the most current thinking.

This creates a specific kind of problem in multi-disciplinary teams. A rehabilitation case involves contributions from several practitioners, each applying their expertise at different points in the process. If those contributions are recorded in separate systems, or in parallel versions of the same document, the team is never working from a unified picture. They are working from approximations of one.

The result is that every new case starts from roughly the same point. The accumulated experience of the department, the refinements made across dozens of cases, the understanding of what works for a given injury type, none of it compounds. It resets.

What Shared Infrastructure Makes Possible

The alternative is not simply storing information in a shared location. Centralisation without structure creates a different problem: a folder full of files that nobody maintains and everybody distrusts.

What changes the dynamic is a system where practitioners from different disciplines work from the same live record — not copies, not exports, but the same information, updated in real time, visible to the whole team. When the physio updates an objective, the S&C coach sees it. When the sports scientist adds a response data point, it sits alongside the clinical criteria rather than in a separate report that someone has to remember to circulate.

This removes the coordination overhead that quietly consumes significant time in most departments. The case update meeting no longer requires an hour of preparation to pull information from four different systems. The report for the head coach does not need to be rebuilt from scratch each time. The picture of where the athlete is, and what still needs to happen, is already assembled. It exists as a function of how the work was done, not as an additional task on top of it.

Frameworks That Evolve

Centralisation solves the sharing problem. But the deeper problem is that knowledge does not compound.

Elite performance departments talk about standards. What makes a standard meaningful is not the aspiration behind it but the infrastructure that makes it possible to maintain. A standard that lives in a spreadsheet is a standard that depends on one person remembering to update it, share it, and enforce it.

A standard that lives in a shared, evolving system is one that the department owns collectively, updates through the course of its work, and carries forward automatically.
